Safety first: three calls that are not aircon calls
Smoke, flame or an active electrical danger: get everyone clear and call 999. An air-conditioning engineer repairs equipment; they do not replace the fire service.

Water reaching electrics: do not touch wet switches, cables or the unit. Isolate the circuit only if the consumer unit is dry, accessible and safe to reach. Otherwise keep clear and call a qualified professional.
What makes a repair urgent rather than inconvenient?
A broken bedroom unit on a mild day can usually wait for normal hours. The same failure during a Heat-Health Alert, in a care setting, or where someone cannot regulate their body temperature is different. UKHSA identifies older people, young children and people with several long-term conditions among those at greater risk from overheating.
Commercial urgency is about consequences as well as comfort. Server rooms, telecoms cupboards, medicines, food preparation, treatment rooms and occupied workplaces can have temperature-sensitive equipment, stock or people. An engineer still needs enough time to diagnose properly; “emergency” should change the response time, not remove the test procedure.

Five safe checks before the engineer travels
1. Stop if there is a safety symptom. Burning smells, smoke, repeated breaker trips, grinding metal or water by electrics mean off, not “try once more”.
2. Check the controller. If it is safe, confirm cooling mode (the snowflake), a set temperature below the room temperature, and no timer holding the system off.
3. Look at the filter. A visibly blocked filter can stop airflow and freeze the indoor coil. Switch cooling off; clean only the user-removable filter described in the manual. Do not dismantle the unit.
4. Record the evidence. Photograph the model plate, controller error code, ice, water path and consumer-unit label. Note when the fault started and whether it affects every indoor unit or one zone. This can help the dispatcher send the right engineer and parts.
5. Check the outdoor unit from a distance. Leaves or a fallen cover can block airflow, but never put a hand through the grille or work at height. Tell the firm whether the fan is still, unusually loud or inaccessible.
What a credible emergency booking sounds like
Before taking payment details, a good dispatcher asks about safety, model and error code, property type, access, symptoms and when the unit last worked. They should be able to state the call-out fee, hourly rate, out-of-hours premium, travel charge, VAT position, cancellation terms and whether the engineer carries parts for your brand.
Ask one direct question: “If the repair cannot be completed tonight, what does this fee buy?” The answer might be diagnosis and making safe, with parts ordered for a daytime return. That can still be worthwhile; it just should not be sold as a guaranteed same-night fix.
Refrigerant does not get consumed like fuel. If a system is low, it leaked. The Environment Agency says people installing, servicing, maintaining, leak-checking, recovering refrigerant from or decommissioning stationary air conditioning must hold the correct F-Gas qualifications. Decline a gas top-up that does not investigate the leak.
Staying cooler while you wait
Close windows and curtains in sun-facing rooms during the hot part of the day, then ventilate when the air outside becomes cooler than indoors. Turn off ovens, tumble dryers and unnecessary electronics, drink fluids and move to the coolest safe space available. Check on anyone at higher risk. A fan moves air but does not lower room temperature. If the property cannot be kept safe, move the vulnerable person to a cooler location rather than waiting beside a failed unit. For a business, use the risk assessment and continuity plan: relocate people or sensitive equipment, provide drinking water, reduce heat-generating work and record the controls used.
Repair tonight or replace tomorrow?
Urgency makes poor buying pressure. A smaller repair on a young, serviceable system usually makes sense. Pause for a replacement comparison when the compressor has failed, major parts are obsolete, the refrigerant is no longer serviceable, the system has repeated costly faults, or the repair is a large share of a correctly sized new installation.

What counts as an air conditioning emergency?
Smoke, sparks, a burning electrical smell, repeated breaker trips and water reaching electrics are safety emergencies: switch the system off and deal with any fire or immediate danger through 999 before calling an air conditioning firm. Loss of cooling can also be urgent during extreme heat when an older person, young child or someone with a health condition is at risk, or when a server room, medicine store or business-critical space is overheating.

What should I do if my air conditioner smells of burning?
Turn it off immediately. If there is smoke, flame, melting wiring or another active danger, leave the area and call 999. If it is safe to do so, isolate the air-conditioning circuit at the consumer unit, but do not remove panels or repeatedly reset a breaker. The system needs an electrical and air-conditioning diagnosis before it is restarted.
Is no cooling during a heatwave an emergency?
It can be, especially for people aged 65 and over, children aged five and under, people living alone, pregnant people and those with long-term heart, breathing or other health conditions. Can I run an air conditioner that is leaking water?
Switch it off if water is near a socket, cable, light fitting or the unit electrics. A small drip from the indoor unit is commonly a blocked condensate drain, but continuing to run it risks damaged finishes and electrical components. Do not open the casing; catch the water only if that can be done safely and book a drain and pump check.
Do emergency repairs require an F-Gas engineer?
Any work on refrigerant-containing air conditioning — including leak testing, refrigerant recovery, circuit repairs and recharging — requires the correct F-Gas qualifications. A firm may also need company certification. Ask for certification details before authorising refrigerant work, even when the call is urgent.
